ResortQuest Whistler - Policies and Procedures   

May 1, 2008 to April 31, 2009

Payment, Cancellation and Refund Policy

SUMMER (May 1-Nov 26, 2008):

  • DEPOSIT: One night's room rate plus tax + entire 6% Reservation Fee (plus applicable taxes) is charged as a deposit at the time of booking and is 100% non-refundable.
  • FINAL PAYMENT: Balance is automatically charged to the guest's credit card 7 days prior to arrival and is 100% non-refundable.
  • Cancellations made more than 7 days prior to arrival will forfeit deposit.
  • Cancellations made within 7 days of arrival will forfeit 100% of the reservation.
  • Full payment is charged at the time of booking for all reservations made within 7 days of arrival and is 100% non-refundable.
  • The guest is responsible for payment of all nights reserved, regardless of the guest's actual arrival or departure. There will be no refund for early departures or unused nights.

WINTER (Nov 27, 2008 to April 30, 2009): Valid for all seasons except Holiday Season

  • DEPOSIT: One night's room rate plus tax + entire 6% Reservation Fee (plus applicable taxes) is charged as a deposit at the time of booking and is 100% non-refundable.
  • FINAL PAYMENT: Balance is automatically charged to the guest's credit card 30 days prior to arrival and is 100% non-refundable.
  • Cancellations made more than 30 days prior to arrival will forfeit deposit.
  • Cancellations made within 30 days of arrival will forfeit 100% of the reservation.
  • Full payment is charged at the time of booking for all reservations made within 30 days of arrival and is 100% non-refundable.
  • The guest is responsible for payment of all nights reserved, regardless of the guest's actual arrival or departure. There will be no refund for early departures or unused nights.

WINTER: Holiday Season - Dec 26, 2008 to Jan 3, 2009

  • DEPOSIT: One night's room rate plus tax + entire 6% Reservation Fee (plus applicable taxes) is charged as a deposit at the time of booking and is 100% non-refundable.
  • FINAL PAYMENT: Balance is automatically charged to the guest's credit card 45 days prior to arrival and is 100% non-refundable.
  • Cancellations made more than 45 days prior to arrival will forfeit deposit.
  • Cancellations made within 45 days of arrival will forfeit 100% of the reservation.
  • Full payment is charged at the time of booking for all reservations made within 45 days of arrival and is 100% non-refundable.
  • The guest is responsible for payment of all nights reserved, regardless of the guest's actual arrival or departure. There will be no refund for early departures or unused nights.

Unit Occupancy & Rates

Base rates are based on the following occupancy per unit type:

  • Hotel Room / Studio/1 Bedroom - 2 guests
  • 1+ Bedroom /2 Bedroom - 4 guests
  • 2+ Bedroom / 3 Bedroom - 6 guests
  • 3+ Bedroom / 4 Bedroom - 8 guests
  • 4+ Bedroom - 10 guests

Extra person charges are as follows:

SUMMER: (May 1-Nov 26/08) - $15 per adult. There will be no extra person charges for children.
WINTER: (Nov 27/08 to Apr 31/09) - $30 per adult. There will be no extra person charges for children.

Maximum occupancy per unit type are generally as follows (this may vary with certain properties and ResortQuest Whistler can provide more details):

  • Hotel Room / Studio - max 2 guests
  • 1 Bedroom - max 4 guests
  • 1+ / 2 Bedroom - max 6 guests
  • 2+ / 3 Bedroom - max 8 guests
  • 3+ / 4 Bedroom / 4+ - max 10 guests
Infants are considered a body with respect to maximum occupancy. Due to British Columbia fire regulations, the maximum occupancy in the unit cannot be exceeded under any circumstance.

*Note: Maximum occupancy may vary from property to property depending on bedding configuration. Please ask for more details.

Reservations Fee

All reservations include a 6% reservations fee calculated on total rent (plus applicable taxes) The reservations fee is 100% non-refundable and includes both a Damage Waiver benefit a nd a ResortQuest Whistler VIP card benefit. The reservations fee applies to each separate “stay,” even if multiple stays are booked simultaneously.

Damage Waiver Benefit

All reservations include a damage waiver benefit. The damage waiver protects both you and the owner's home in the event of accidental damage during your occupancy.
The damage waiver benefit is collected as part of the Reservation fee. The damage waiver benefit is non-refundable. In exchange for this benefit, ResortQuest, on behalf of the property's owner, will waive costs of reported accidental loss or damage to the contents of the rental property during your occupancy.

The damage waiver does not cover negligence or willful and wanton misconduct. The damage waiver is limited to a maximum total of $2,500 damage payment per stay, per unit,
and is applicable for the guest's entire stay. The damage waiver benefit is automatically added to a reservation.
Reporting Damage: Please note any damage to the property upon your arrival and report it immediately to our office to avoid possible liability.

If any loss or damage occurs during your stay, please notify us immediately. All damage must be reported prior to departure for the waiver to apply.
We inspect every unit after each guest's departure; if loss or damage is reported after your stay that exceeds the $2,500 coverage, we will charge your credit card.
Otherwise, we will contact the renter in order to bring about resolution to the issue.

VIP Card Benefit

ResortQuest Whistler VIP card will be given to all guests when they check into any ResortQuest Whistler property. This card provides resort-wide savings at various dining restaurants, activity providers, rentals and clothing throughout the year.

The VIP Program currently includes (but is not limited to) benefits such as; complimentary local calls, incoming faxes, newspaper, laundry soap, in-room coffee, one complimentary video/DVD rental per day and discounts at local restaurants, stores and coffee shops. Although there will always be VIP program benefits, suppliers of these benefits do sometimes change and therefore some of the VIP Program benefits are not listed in this contract so as not to be published.

Smoking Policy

All units are non-smoking.

Age Requirement

The individual making the reservation must be 25 years of age or older and must occupy the rental property the entire term of the reservation and have a valid credit card in their names. Please call for specific details. Additional restrictions may apply.

Children are FREE - 18 years and younger.

Methods of Payment/Security Deposit

ResortQuest Whistler accept Visa, MasterCard, American Express credit cards. All payments must be paid in Canadian dollars. A credit card will be required upon check-in for incidentals and damages. ResortQuest pre-authorizes the credit-card number for a security deposit in case of damages or incidentals incurred that are not covered by, or exceed the damage waiver. The pre-authorization will be voided 10 days after departure date provided there is no damage, missing inventory, telephone charges and/or excessive cleaning required. The security deposit amount that is pre-authorized at check-in will vary in based on unit size. Please call for specific details. No credit-card fees will be charged to guests.

IMPORTANT: The primary guest of the reservation (name that is on the actual reservation) must be the valid credit card holder of the reservation, must occupy the rental property the entire term of the reservation and must be present at check-in. 3rd party payments for reservations are on request. Special Requests

As ResortQuest Whistler is a property management company responsible for the vacation rental of individually owner units, unit amenities and layouts may vary.
Special requests for specific floors, actual unit numbers, specific bedding configuration, certain views, rooms close to one another etc can be made, however are never guaranteed by ResortQuest Whistler.
Confirmation of request will be confirmed or denied to the guest at check-in.

No Daily Maid Service

While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. A touch up clean and towel and linen change are included once every 4 days for stays of 5 nights or longer. Additional housekeeping services are available for a fee. Please call for specific details.

Parking Restrictions

Parking charges vary per property, please read the following carefully: $12/day (plus GST) at the following properties: Aspens On Blackcomb, Town Plaza, The Marquise, Glacier Lodge, Lost Lake Lodge, Glacier’s Reach, Glacier Lodge, Cascade Lodge. $10/day (plus GST) at The Marquise and $15/day (plus GST) at The Alpenglow.

The Alpenglow & Aspens on Blackcomb use a parking machine for payment. The machine accepts coins or credit card. For all other locations parking is paid for at time of Check In.

All other properties offer complimentary parking for 1 car unless otherwise specified – i.e. private homes offer garages and driveways.

Note: Parking restrictions and fees are subject to change without prior notice.

Check-in and Check-out

Check-in time is after 4:00 p.m.; checkout time is 10:00 a.m. Due to our high standards for cleanliness, not all units will be ready for check-in promptly at 4:00 pm.
We ask for your patience and suggest that you have alternate plans available between 4:00 and 6:00 p.m. in case the unit is not yet ready.

Agency Disclosure

ResortQuest serves as the agent and representative of all owners of condominium units, townhomes and houses on its rental program and is acting at all times, in and for the best interest of the owners.

Liability of ResortQuest Whistler

As ResortQuest is a property management company responsible for the rental of individually owned units, it may experience fluctuations in inventory and availability.

ResortQuest will make every effort to provide the exact unit type requested, however, ResortQuest is unable to make absolute guarantees. ResortQuest Whistler will never guarantee specific unit numbers, certain views/floors etc. These can be put on request only but will never be guaranteed or confirmed until check-in.

In the unlikely event that the unit type requested is no longer available, ResortQuest will make every attempt to contact the guest prior to arrival date. Notification prior to arrival may not always be possible. 

ResortQuest Whistler reserves the right to cancel or change your accommodation at anytime, however ResortQuest Whistler will make every attempt to substitute with an alternative accommodation option that ResortQuest Whistler deems comparable.  Under the rare occurrence that ResortQuest Whistler must cancel your reservation;

ResortQuest Whistlers’ liability will be limited to a refund of all monies paid. 
ResortQuest Whistler reserves the right to refuse any booking and decline any guest at anytime. 
ResortQuest Whistler strongly encourages guests to purchase travel insurance.  Unfortunately at this time, there is not an option to purchase travel insurance through ResortQuest Whistler directly, so ResortQuest Whistler recommends purchasing your travel insurance separately from the purchase of your accommodation. 
ResortQuest Whistler will not assume responsibility for any claims, losses, damages, costs or expenses arising out of the following: sickness, family emergencies, theft or any other circumstance affecting you beyond our direct control; your failure to obtain the documentation required such as passports, visas and certificates (in which case you will also not be entitled to any refund); your failure to follow instructions including but not limited to check-in and check-out times or locations.
