Access to your rental unit
Some Whistler eStays properties have an electronic door lock system. If this is the case, a unique code for your reservation will be supplied to you prior to your arrival date in order for you to access the unit. Please contact us if you have any questions regarding your unique access code - 1-800-777-0185. Access to the unit via your unique code will not be made available until 4pm PST on the day of your arrival. Access to the unit prior to 4pm on day of arrival will not be permitted. On the day of your checkout, access to your unit will be made available to you until 10am PST. Late checkouts will not be permitted after 10am PST.
If your Whistler eStays property rental does not have an electronic door lock system, you will be supplied your check-in details at time of reservation. Please contact us if you have any questions regarding this – 1-800-777-0185. Check-in is at 4pm PST and check-out is at 10am PST.
Reservations, Rates & Policies
Please take a moment to read the following important information. It will be helpful when booking reservations with Whistler eStays.
Rates & Minimum Length of Stay
Most properties have daily rates based on a two to four night minimum stay. These rates are subject to change without notice. Higher rates and longer minimum length of stays may apply over certain periods. Minimum length of stays and rates are guaranteed for the reservation once confirmed however any changes made to existing reservations or if any future reservations are made are always subject to the policies in place at that time. Please call for specific details.
All rates and the Resort Fee are subject to 10% Lodging Tax plus 5% GST.
All reservations include a 6% resort fee calculated on total rent. The resort fee is 100% non-refundable and includes a Damage Waiver benefit. The resort fee applies to each separate “stay,” even if multiple stays are booked simultaneously. The resort fee is automatically added to a reservation and is taxable at 10% Lodging Tax plus 5% GST.
Damage Waiver Benefit
All reservations include a damage waiver benefit. The damage waiver protects both you and the owner's home in the event of accidental damage during your occupancy.
The damage waiver benefit is collected as part of the Resort Fee. The damage waiver benefit is non-refundable. In exchange for this benefit, Whistler eStays, on behalf of the property's owner, will waive costs of reported accidental loss or damage to the contents of the rental property during your occupancy. The damage waiver does not cover negligence or willful and wanton misconduct. The damage waiver is limited to a maximum total of $2,500 damage payment per stay, per unit, and is applicable for the guest's entire stay. The damage waiver benefit is automatically added to a reservation.
Reporting Damage: Please note any damage to the property upon your arrival and report it immediately to our office to avoid possible liability. If any loss or damage occurs during your stay, please notify us immediately. All damage must be reported prior to departure for the waiver to apply. We inspect every home after each guest's departure; if loss or damage is reported after your stay that exceeds the $2,500 coverage, we will charge your credit card. Otherwise, we will contact the renter in order to bring about resolution to the issue.
The individual making the reservation must be 25 years of age or older and must occupy the rental property the entire term of the reservation and have a valid credit card in their names. Please call for specific details. Additional restrictions may apply.
The maximum number of guests per unit is limited at most properties to two (2) persons in a hotel room or studio unit, four (4) persons in a one bedroom, six (6) persons in a two bedroom and eight (8) persons in a three bedroom. Infants are considered a body with respect to maximum occupancy. Due to British Columbia fire regulations, the maximum occupancy in the unit cannot be exceeded under any circumstance. Please call for more details for specific properties or unit types.
A non-refundable deposit including the first nights rent and the entire Resort Fee (see “Resort Fee” above) for the full stay plus applicable taxes will be processed through at the time of booking. Your final payment will be automatically processed through when due (see final payments), at which time your total booking will be 100% non-refundable.
The primary guest of the reservation (name that is on the actual reservation) must be the valid credit card holder of the reservation, must occupy the rental property the entire term of the reservation and must be present at check-in. 3rd party payments for reservations are on request. Please contact our Reservations department at 1-800-777-0185 for more details regarding 3rd party payments. Please note: 3rd party payments will not be accepted for May Long weekend.
Late Reservations Require Full Payment
Reservations for Whistler eStays properties made less than 30 days prior to arrival require payment in full immediately (7 days prior for the summer season May 1-Nov 25, 2009 and 60 days prior for the Holiday period Dec 25, 2009-Jan 2, 2010) and are 100% non-refundable.
Methods of Payment/Security Deposit
We accept Visa, MasterCard, American Express credit cards. All payments must be paid in Canadian dollars. On day of arrival, Whistler eStays will automatically pre-authorize the credit-card number on file for a security deposit in case of damages or incidentals incurred that are not covered by, or exceed the damage waiver. The pre-authorization will be voided 10 days after departure date provided there is no damage, missing inventory, telephone charges and/or excessive cleaning required.
The security deposit amount that is pre-authorized at check-in will vary in based on unit size. Please call for specific details. No credit-card fees will be charged to guests.

If you are renting a Whistler eStays property, your remaining balance is due 30 days prior to your check-in date. If any of the rented nights of your stay fall over 2 different seasons, the final payment due date for the 2nd season will be applied to your reservation. (7 days prior for summer season May 1-Nov 25, 2009 and 60 days prior for the Holiday period Dec 25, 2009-Jan 2, 2010). E.G. However if any part of your stay falls within the Holiday period, final payment will be due 60 days prior to arrival regardless of arrival date). Some units may require payment further in advance. This balance includes the remaining payment of the listed rental rate and all taxes. All taxes are subject to change. Final payment is non-refundable upon cancellation. The renter is responsible for payment, deposits and other responsibilities detailed in the confirmation.
Cancellation before final payment date will forfeit one night’s deposit, plus the resort fee and applicable taxes. Cancellation after final payment will forfeit the full amount. The guest is responsible for payment of all nights reserved, regardless of the guest’s actual arrival or departure.
Prior to final payment, Whistler eStays will allow the following changes to your reservation, without any penalties: date change, name of guest, reduced stay/change in duration, change of property and downgrades. Please note the initial deposit taken at time of booking is still non-refundable (no refunds will be allowed). If you have upgraded your reservation, which results in a higher deposit, the difference in deposit amounts will be taken at time of the change. Once final payment has been processed, the reservation will become 100% non-changeable / 100% non-refundable.
No Daily Maid Service
While linens and bath towels are included in the unit, daily maid service is not included in the rental rate. A touch up clean and towel and linen change are included once every 4 days for stays of 5 nights or longer. Additional housekeeping services are available for a fee.
Parking charges vary per property, please read the following carefully: $12/day (plus GST) at the following properties: Aspens On Blackcomb, Town Plaza, Glacier’s Reach, Glacier Lodge, Cascade Lodge. $16/day (plus GST) at The Marquise and $15/day (plus GST) at The Alpenglow
The Marquise, Glacier Lodge, The Alpenglow & Aspens on Blackcomb use a parking machine for payment. The machine accepts coins or credit card. All other properties offer complimentary parking for 1 car unless otherwise specified – i.e. private homes offer garages and driveways.
Whistler eStays serves as the agent and representative of all owners of condominium units, town homes and houses on its rental program and is acting at all times, in and for the best interest of the owners.
Liability of Whistler eStays
As Whistler eStays is a property management company responsible for the rental of individually owned units; it may experience fluctuations in inventory and availability. Whistler eStays will make every effort to provide the exact unit type requested, however, Whistler eStays is unable to make absolute guarantees. Whistler eStays will never guarantee specific unit numbers, certain views/floors etc. These can be put on request only but will never be guaranteed or confirmed until check-in. In the unlikely event that the unit type requested is no longer available, Whistler eStays will make every attempt to contact the guest prior to arrival date. Notification prior to arrival may not always be possible.
Whistler eStays reserves the right to cancel or change your accommodation at anytime, however Whistler eStays will make every attempt to substitute with an alternative accommodation option that Whistler eStays deems comparable. Under the rare occurrence that Whistler eStays must cancel your reservation; Whistler eStays’ liability will be limited to a refund of all monies paid.
Whistler eStays reserves the right to refuse any booking and decline any guest at anytime. Whistler eStays strongly encourages guests to purchase travel insurance. Unfortunately at this time, there is not an option to purchase travel insurance through Whistler eStays directly, so Whistler eStays recommends purchasing your travel insurance separately from the purchase of your accommodation.
Whistler eStays will not assume responsibility for any claims, losses, damages, costs or expenses arising out of the following: sickness, family emergencies, theft or any other circumstance affecting you beyond our direct control; your failure to obtain the documentation required such as passports, visas and certificates (in which case you will also not be entitled to any refund); your failure to follow instructions including but not limited to check-in and check-out times or locations.
Unfortunately, Whistler eStays properties do not accept pets in their units.
